Tasks
Track follow-ups, callbacks, and anything with a deadline, including tasks Gene creates for you.

Overview#
Tasks is where follow-ups, callbacks, viewings, and anything with a deadline live in Gene App. Use it to see what is due, assign work to your team, and tick things off.
Each task carries a title, optional description, an associated contact, an assignee, and a due date, and you can mark it done with a single click. Gene can also create tasks for you, and tasks can repeat on a schedule.
Tasks opens on a Board: columns for Overdue, Today, Upcoming, No date and Done, like the Pipeline. Drag a card to another column to change its due date, or into Done to complete it. The List / Board switch in the header flips to the full list, and Gene App remembers which one you used last.
What you can do#
Board or list#
- Board (default): open tasks sit in Overdue, Today, Upcoming or No date by their due date, and Done holds the latest completed ones. Drag a card into Today, Upcoming or No date to move its due date there, into Done to complete it, or out of Done to reopen it. For an exact date and time, open the task popup.
- List: every task in a table with quick-filter tabs, status filter, sort, bulk actions and pages.
- Switch with List / Board in the header. Your last choice is remembered on that browser.
Create a task#
Click Add Task (header, top right) or New task (filter bar, right side). Both open the same task popup in the middle of the screen, with title, description, due date and time, recurrence and assignee. Create and add another creates the task and keeps the popup open for the next one.
Manage tasks#
- Mark complete (Status circle on each row): click the open circle to mark a task completed (it turns into a green check). Click the green check to reopen it as pending.
- Edit a task (click a row, or the pencil in the Actions column): opens the task popup in the middle of the screen, pre-filled, where you can change any field. Changes save as you type, and the X closes the popup. The popup also shows when the task was created.
- Delete a task (trash in the Actions column): opens a confirmation, then removes the task.
- Search tasks (search box, right side): filters the list by task title as you type.
- Bulk select (row checkboxes, or the header checkbox to select the whole page): replaces the filter bar with bulk actions to mark done, mark pending, or delete the selected tasks together.
- Paginate (footer): move between pages, jump to a specific page, and change how many rows show per page.
What the list shows#
- Tasks created by Gene show a sparkle icon next to the title.
- Tasks auto-created when a contact enters a pipeline stage show a colored "(stage) stage" chip.
- Overdue and due-today dates are colored so they stand out.
Every column, field and action is listed in full under Details below.
Tips#
- Click a status circle straight from the list or a board card to complete or reopen a task without opening it.
- Use the quick-filter tabs to triage your day: Overdue and Due Today first, then Upcoming.
- Deleting a task is permanent, so double-check before you delete.
- To hear when a teammate gives you a task, or to change where your 8am Tasks due today summary goes, use Settings > Notifications.
Details#
Everything on the Tasks screen, and the add/edit task popup, for when you need to look something up.
Header and quick filters#
- Title "Tasks" with a count badge ("N Tasks" on the List, "Open tasks · N" on the Board).
- List / Board switch (top right). Board is the default; the last view you picked is remembered on that browser.
- Add Task button (top right). Opens the add/edit task popup in create mode.
Quick-filter tabs (below the header, List only; on the Board the columns do this job), exactly these:
- All: every task.
- Due Today: pending tasks with a due date inside today.
- Overdue: pending tasks with a due date in the past.
- Upcoming: tasks with a due date now or later.
- Gene's tasks: tasks created by Gene's AI.
Switching a tab resets to page 1 and clears the current selection.
Filters#
The filter bar (shown when nothing is selected) holds:
- Assignee filter (dropdown). Options: Any, Gene (follow-ups Gene works itself), and each team member.
- Status filter (dropdown, List only). Options: All, Pending, Completed.
- Sort (dropdown, List only, see below).
- Search field. Searches task titles as you type and resets to page 1. A clear (X) button appears when text is entered.
- New task button. Opens the same add/edit task popup as Add Task, in create mode.
Sort and views#
Sort menu#
Labelled "Sort by" with a Clear action (resets to Due Date newest). Exactly these options:
- Due Date (newest), default
- Due Date (oldest)
- Title (A - Z)
- Title (Z - A)
- Newest first
- Oldest first
The active option is checkmarked. The Title and Due Date column headers are also clickable to sort (click to sort, click again to flip direction).
Board#
The Board has five columns, always shown in this order, even when empty ("Nothing here"):
- Overdue: open tasks whose due date has passed (red dot).
- Today: open tasks due later today (orange dot).
- Upcoming: open tasks due after today (blue dot).
- No date: open tasks without a due date (grey dot).
- Done: the 20 most recently completed tasks, with "Latest 20 of N" when there are more (green dot).
Each heading is a coloured dot and the column name, with the number of cards underneath, like a Pipeline stage. A card shows:
- The title top left and the complete circle top right.
- Contact and Due rows with the linked contact and a short due date. The date turns red only when the task is overdue.
- Below a divider, the assignee's avatar and first name (or Gene for a follow-up Gene works itself, or Unassigned), with Needs reply when the lead is waiting on a reply and Gene for tasks Gene created.
Click a card to open the task popup, or its circle to complete or reopen it.
Dragging:
- Into Today makes it due today. It keeps its time if that is still ahead today, otherwise it is due at 11:59 PM today.
- Into Upcoming makes it due tomorrow at the same time of day, or 9:00 AM if it had no date.
- Into No date clears the due date.
- Into Done completes the task and keeps its due date.
- Out of Done reopens it. Dropped on the column its due date already belongs to, the date stays; dropped on another column, the date changes as above.
- Overdue takes no drops. A task only lands there when its due date passes.
The Board loads the 100 soonest open tasks. With more than that it reads "Showing the 100 soonest of N open tasks. Switch to List to see them all." Search and the Assignee filter apply to the Board too.
Columns#
List columns, in fixed order:
- Status: a completion toggle. Open circle = pending, green check circle = completed. Clicking it toggles the task.
- Title (sortable).
- Shows a sparkle icon for Gene-created tasks.
- Shows a colored "(stage) stage" chip for tasks auto-created when a contact entered a pipeline stage.
- Completed titles are struck through.
- Description: truncated; shows a dash when empty.
- Associated Contacts: a badge with the linked contact's name, or a dash.
- Assignee: an avatar with initials plus the name, or a dash.
- Due Date (sortable). The header shows your local timezone offset. Overdue and due-today dates are colored.
- Actions: an edit (pencil) button and a delete (trash) button.
There is no Manage Fields control; the column set and order are fixed.
Statuses#
A task is one of:
- Pending: open. Shows the empty circle in the Status column. Counted in Due Today, Overdue, and Upcoming where the due date qualifies.
- Completed: done. Shows the green check circle and a struck-through title.
Toggling the Status circle, or the bulk "Mark as done" / "Mark as pending" actions, moves a task between these two states.
Pagination#
Footer controls when tasks exist:
- "Page N of M".
- Rows per page (dropdown): 10, 20, 50, 100 (default 20, remembered per browser).
- First, Previous, Next, Last page buttons, plus a "go to page" input.
Add / edit task popup#
Opened by Add Task, by New task in the filter bar, by the row edit (pencil) action, or by clicking a row. Fields:
- Title (text, required).
- Description (textarea, up to 2000 characters, with a live character count).
- Due date and time: a calendar date picker plus a time input. The label shows your local timezone offset. New tasks default to tomorrow at 08:00.
- Recurring tasks (toggle). When on, reveals:
- Frequency (select): Daily, Weekly, Monthly, Yearly.
- Ends on (radio group): Never (default) or On with a date input.
- Assign to (select). Options: "Select assignee" (none) plus each team member. A follow-up Gene works itself shows Gene here instead of the picker: Gene follows up on it at the due date.
In edit mode the popup header shows the task title and the body shows the task's "Created On" timestamp.
Editing a task has no footer and no Save button:
- Every change saves on its own. The title and description save shortly after you stop typing; the due date, assignee and repeat settings save almost at once.
- The header shows Saving..., then Saved, or "Not saved. Try again" with a Try again link if a save fails.
- A task cannot lose its title. While the title is empty it reads "A task needs a title." and nothing is saved.
- The X closes the popup after saving anything still waiting. If a save failed, Gene App asks before you close and lose it.
Creating a task (from Add Task or New task) has these footer buttons:
- Cancel.
- Create and add another: creates the task, keeps the popup open and the assignee, and resets the rest.
- Create task (disabled until a title is entered; shows "Creating..." while in flight).
Row and bulk actions#
Per-row actions live in the Actions column: an edit (pencil) button and a delete (trash) button.
The row delete (trash) action opens a "Delete task?" confirmation. Buttons: Cancel and Delete task.
Selecting one or more rows (row checkboxes, or the header select-all for the current page) replaces the filter bar with a bulk bar showing "N Tasks selected" and:
- Mark as done: sets selected tasks to completed.
- Mark as pending: reopens selected tasks.
- Delete (destructive): opens a "Delete N tasks?" confirmation with Cancel and Delete N tasks.
The search field remains available in the bulk bar.
WarningDeleting a task is permanent. There is no undo or restore.
Empty states#
- No tasks yet (no search active): a check icon, "Add your first task", and an Add task button. Tasks track follow-ups, callbacks, and anything that needs a deadline.
- No search results: a check icon and "No tasks found".
