Notifications
Choose which alerts reach you, and where (in Gene App, email, WhatsApp or the mobile app).
Notifications is where you decide which alerts reach you, and on which channel. Your choices only change what you receive, and only in the workspace you are in. Every role can open this page.
Managers and admins also see a person picker at the top, set to Me. Pick a teammate to see and change that person's alerts, for example to switch on their WhatsApp alerts for them. Everyone else only ever sees their own.
How it works#
The page is one table. Each row is an alert, each column a channel. Tick a box to get that alert there, untick it to stop. Each box saves on its own, with a Saving... / Saved marker at the top of the page, or "Not saved. Try again" if a save fails.
A dash means that alert cannot be sent on that channel.
Until you change something, every alert works exactly as it did before this page existed. Stage updated and Task created are new and start off everywhere.
The channels#
- In-app: the bell in the sidebar.
- Email: to the email you sign in with.
- WhatsApp: to your own phone, from your workspace's WhatsApp number. Once you tick any WhatsApp box, a Your WhatsApp number field appears under the table. Fill it in with the country code. On a number connected by QR code, every alert is a normal message. On a number connected through the official WhatsApp API (Twilio or Meta), WhatsApp only allows a normal message if you messaged that number in the last 24 hours, so otherwise the alert uses a "Team alert" template. Each alert has its own one, with fixed wording, the lead's name, one detail (the lead source, the booking time, the new stage, how long the lead has waited) and an Open in Gene button, for example "New lead assigned to you: Sofia Lindqvist. Source: Website Forms. Open the conversation in Gene to reply." Gene submits these as utility templates when someone switches on a WhatsApp alert (or the first time it needs one), and they appear in Flows > Template library. For most alerts, an email stands in while a template is in review or if Meta files it as anything but utility. Portal and document alerts follow the WhatsApp retry rule below. Gene never sends an alert as a marketing template.
- Mobile app: a push on every phone where you are signed in to the Gene App mobile app.
The alerts#
| Alert | What it is | On by default |
|---|---|---|
| Appointment booked | A meeting is booked for you. The email is your calendar invite. | In-app, Email |
| Hand-over | Gene hands one of your leads to you. | In-app, Email |
| Unanswered hand-over | A handed-over lead is still waiting for a reply, or Gene took it back. Managers get this when a teammate's lead waits too long. | In-app, Email |
| Gene needs your help | Gene could not answer a lead's question and needs you to reply. | In-app, Email |
| New lead assigned | A new lead is assigned to you. | |
| Stage updated | One of your leads moves to another stage, by Gene or a teammate. Not when you move it yourself, not for bulk moves, and not when Gene moves it to another pipeline (that has its own alert, below). | Nothing |
| Gene moved a lead to another pipeline | Gene moves one of your leads to another pipeline because the conversation matched that pipeline's rule. Only for pipelines that have a rule for Gene to move leads into them. | In-app, Email, Mobile app |
| Task created | A teammate creates a task for you. | Nothing |
| Tasks due today | Your 8am summary of tasks due today and overdue. | In-app |
| Mentioned in a note | A teammate @mentions you in an internal note. | In-app, Email |
| New message | A lead writes in a conversation you own (or any conversation, if it has no owner). | Mobile app |
| Portal: enquiry on a listing | A lead sends an enquiry from a listing on your property portal, new or one you already know. | In-app, Email, Mobile app |
| Portal: new account | A lead creates their own account on your portal. A new contact gets an owner the way an enquiry does. | In-app, Email |
| Portal: interest in a project | Your portal AI notes that a lead is interested in a project. | In-app, Email, Mobile app |
| Portal: download | A lead downloads a brochure, a document or a listing's full pack. At most one per lead an hour. | In-app |
| Portal: message to the AI | A lead messages your portal AI. At most one per lead every 30 minutes. | In-app, Mobile app |
| Portal: lead came back | A lead signs in to your portal again. At most one per lead every 12 hours. | In-app |
| Document signed or declined | A lead signs or declines a document you sent for e-signature. Goes to whoever sent it. | In-app, Email, Mobile app |
The seven portal and e-sign alerts can also go to WhatsApp. That box starts unticked; tick it to get them there. Past the 24-hour window they use fixed utility templates, for example "Portal enquiry: Sofia Lindqvist sent an enquiry about Palm Villas on your property portal." or "Document signed: Sofia Lindqvist signed the document Reservation form." If Meta is reviewing a template, Gene retries WhatsApp for up to eight hours. These alerts do not switch to email because a WhatsApp template is pending or unavailable; email arrives only if you selected Email too. Meta controls the final category. If Meta does not approve it as utility, Gene never sends it as a marketing template and adds an in-app delivery notice.
Straight to the conversation#
Every alert about a lead takes you to that lead's conversation in Gene App. The email has an Open conversation button, the WhatsApp message ends with a link that opens as an "Open Sara's chat" card (with the lead's name) or, on a Team alert template, an Open in Gene button, and the bell and the mobile app open it too. If the lead has no conversation yet, the link opens their contact page. If you are in more than one workspace, the link opens the right one.
Tips#
- Alerts for a lead nobody owns go to the whole workspace's bell, and nobody's choices hide them, so an unowned lead is never missed.
- The team WhatsApp group alerts are set for the whole workspace, not here.
- Turning off Appointment booked by email also stops the calendar invite for new bookings. Moves and cancellations still update your calendar.
Details#
Settings > Notifications, under Account, next to My Profile. Your choices are saved per person and per workspace, so a person in two workspaces sets each one separately. Your WhatsApp number is the same phone number a Manager sees on your Team profile. When a manager picks a teammate, that teammate's number shows but cannot be changed here.
