Team
Invite teammates, set their roles, and control which leads and features each person can access.

Overview#
Team is where you manage the people in your Gene App workspace. Bring teammates in so Gene App can assign leads, log activity per agent, and keep shared inbox notes.
Editing members requires the Manager role. Agents see the list but not the edit controls.
Invite a teammate#
- Click Add staff. The invite wizard opens.
- Fill in User Info (step 1): name, email and the optional fields below.
- Choose a Workspace role and adjust Permissions (step 2).
- Click Send invite on step 2. Gene App emails them a link to set up their account in this workspace.
The person shows as Invited until they accept. For an outstanding invite, Managers see a Resend button to re-send the invite email.
The staff list#
- Add staff: opens the invite wizard to bring in a new teammate.
- From your website: a suggested-teammates card (Managers only). It appears when Gene App found names on your team page during setup.
- Each row has an Invite button that prefills the wizard.
- A dismiss (X) hides the row.
- Member rows: each row shows the person's name, email, a role badge (Manager, Agent, Assistant, Tech, or External Partner), and a status dot:
- Active (green)
- Inactive (grey)
- Invited (amber, for an invite not yet accepted)
- Editable rows link to the edit wizard.
- Gene support: Gene's own support staff are not listed here, and are never offered in an assignee or host picker. Their seat is how Gene supports your workspace, not a member of your team.
The invite and edit wizard#
Two steps: User Info, then Roles & Permissions. When you edit an existing member, every change saves on its own, and the Saved / Saving status shows at the foot of both steps.
Step 1: User Info#
- Full name: required. When editing, a blank name is not saved: the foot reads "Add a name to save their details." Role, permissions and Account active still save on their own meanwhile.
- Email: required. This is their login. It is locked when editing an existing member.
- Phone: optional. Used for WhatsApp routing if you assign them, and for the WhatsApp alerts switched on for them in Settings > Notifications, where it shows as Your WhatsApp number. A manager can switch those alerts on for them there by picking their name at the top.
- Job title: optional. Lets Gene introduce this person to leads by role.
- Languages spoken: the languages this teammate speaks, in its own card right under the profile fields.
- Leads are auto-assigned to an agent who speaks their language.
- Not shown for the Tech and External Partner roles, since they are never in the lead rotation.
- Account active: edit mode only. Turn it off to suspend access without deleting the person. See Suspending or removing someone.
Step 2: Roles & Permissions#
- Workspace role: Manager, Agent, Assistant, Tech, or External Partner. See Roles.
- Permissions: per-feature toggles, grouped by area. See Permissions.
- Restrict lead visibility: the first row under Sales. See Restrict lead visibility.
Roles#
| Role | What they do | Which leads they see |
|---|---|---|
| Manager | Full access. Changes settings, billing, and the team. | All leads |
| Agent | Works the pipeline and closes. No settings or billing. | Only their own, unless you turn off Restrict lead visibility |
| Assistant | Supports the closers with admin work. Never in the lead routing rotation. | Every lead and booking, unless you turn on Restrict lead visibility |
| Tech | Sets up channels, integrations and the AI. Never assigned a lead, never bookable for a call. | None: sees no sales pages |
| External Partner | Outside collaborator. Sees only the Inbox and Pipeline. | Only the leads they follow |
For an Assistant, the other permissions decide what they can open and change.
To share a lead with an External Partner, add them as a follower on that contact.
Permissions#
The role sets the starting point. Changing a toggle overrides the role default, and Reset to role defaults restores them.
- Managers hold every permission, and their toggles are fixed.
- Agents and Assistants start from the same set, apart from Restrict lead visibility:
- On: view and edit contacts, the pipeline, tasks and the calendar; view and send in the Inbox; view the dashboard, payments and documents; edit FAQs and search content.
- Off: Flows, Configure AI and Settings.
- So an Assistant is not read-only by default. Switch off anything they should only look at.
- Tech and External Partner have a capped set. You can switch things off, but the greyed-out toggles cannot be switched on for those roles.
The toggles, by group#
| Group | Toggles |
|---|---|
| Workspace | View dashboard, View tasks, Edit tasks, View calendar, Edit calendar |
| Communication | View inbox, Send messages |
| Sales | Restrict lead visibility, View contacts, Edit contacts, View pipeline, Edit pipeline, View flows, Edit flows, View payments, Edit payments, View documents, Edit documents |
| AI | View AI, Configure AI, Edit FAQs, Edit search content |
| Settings | View settings, Manage team, Manage channels, Manage integrations |
There is no billing toggle: billing is always Manager only.
Restrict lead visibility#
This switch (the first row under Sales) decides whose leads this person sees. Its description reads "Only sees the leads, conversations and bookings assigned to them".
When it is on, they see only what is assigned to them:
- their contacts, Inbox conversations, pipeline cards, bookings, tasks and dashboard numbers
- Analytics counts only their leads: every card, the leads behind each number, both trend charts and the value won this month. They get no goal-pace line and no ROI, since those measure the whole workspace.
- the notification bell leaves out workspace-wide notices about a colleague's lead (a handover waiting, a meeting booked). Notices addressed to them still arrive.
- Home leaves out the CEO briefing, which covers the whole workspace
- Gene AI in the sidebar answers from the same set
- this holds everywhere, a direct link to someone else's lead or conversation included. The database enforces it too, so live updates in their browser (new messages, for example) only bring their own leads.
- contacts they add are assigned to them
- they get no people picker on the Pipeline and no Calendars picker on the Calendar
Starting a new conversation with a number that belongs to a colleague's lead is refused with "This number belongs to a lead assigned to someone else. Ask a manager to reassign it." A number nobody has yet starts a new lead of their own.
When it is off, they see the whole workspace and get the people picker on the Pipeline and the Calendars picker on the Calendar.
Defaults:
- It starts on for Agents and off for Assistants. You can change it for each person, and Reset to role defaults puts it back.
- Managers always see every lead, so for them it shows off and locked.
- Tech and External Partners have no such switch: Tech sees no sales pages, and an External Partner sees only the leads they follow.
With WhatsApp number teams#
Where WhatsApp number teams are enabled for your account (see People on each number):
- With the switch on, they also see every lead on the WhatsApp numbers they are on, and Analytics counts those leads too. The switch's description adds ", plus every lead on the WhatsApp numbers they are on".
- The one exception to "off means everything": a number set to Only selected people and roles keeps its leads from anyone not on it, by name or by role, even with this switch off, unless the lead is assigned to them.
Suspending or removing someone#
Turn off Account active#
In the edit wizard, turn off Account active to suspend access without deleting the person.
- Inactive users cannot log in.
- Their leads, open conversations and unread notifications go to the workspace's next assignee (the unassigned queue when nobody is in the rotation).
- Their notes and message history stay in your records.
- Where one WhatsApp number per agent is enabled, their own number becomes a shared workspace number (see One WhatsApp number per agent).
Remove from workspace#
Remove from workspace is in the edit wizard's Danger zone (not available for your own account).
- Open the person in the edit wizard and choose Remove from workspace.
- Type DELETE in the confirmation field to confirm.
This cannot be undone. If this is the only workspace the person belongs to, their account is deleted and they can no longer sign in anywhere. It removes the person from the workspace and hands their work back the same way as turning off Account active: leads, open conversations and unread notifications go to the workspace's next assignee, and their own WhatsApp number, where they have one, becomes a shared workspace number.
A Manager can also ask Gene in the sidebar to remove someone. It asks you to confirm first, then does the same.
Tips#
- A teammate sees their assigned role on their own profile, but only a Manager can change it here.
- To let one Agent see every lead (a team lead, say), turn off Restrict lead visibility on their profile. They then also see the whole workspace's Analytics. They do not need to be a Manager for it.
- Team is about people and access. Company details live under Business Profile.
- Each member manages their own timezone, language, and password from their own My Profile.
Details#
How the Team screen is laid out, for when you need to look something up. Team appears in Settings only where enabled for your account. The screen is the staff list. Add staff, or an editable row, opens the two-step invite and edit wizard: User Info, then Roles & Permissions, with the permission toggles on step 2.
Danger zone#
Part of the edit wizard, shown only in edit mode and never on your own account. It holds Remove from workspace, confirmed by typing DELETE. What removing someone does to their leads and number is under Remove from workspace.
