AI Agents

Set up the AI assistant that talks to your leads, and learn where Gene is switched on.

Where to change itAI
On this page

The AI Agents area is where you set up the AI assistant that talks to your leads. It controls who the assistant is, what it knows about your company, how it qualifies leads, how it books meetings and how it follows up.

Important

Whether Gene replies at all is not set here. Each channel in Flows > Inbound has its own switch for that (for example Gene AI replies on WhatsApp). See Turning Gene on or off.

Overview#

The lead-facing assistant replies to inbound messages on WhatsApp and email. When Gene AI is on for a channel, it:

  • answers on its own and builds rapport;
  • qualifies the lead against your rules;
  • steers interested leads toward an appointment.

It grounds every answer in the knowledge you give it (company facts, FAQ, documents, properties), so it does not invent things.

The assistant speaks under the name and persona you set in the Sales agent section, so it never calls itself Gene to a lead.

The four sections#

The page has a top bar with a Settings back button (it returns to the rest of Settings) and a left sidebar of four sections. Each section is one slice of the setup.

SectionWhat you set there
Sales agentThe assistant's name, job title, location, the languages it replies in, extra rules (a spelling convention is one of them), first-reply guidance, tone, reply timing, and (when enabled) a sample conversation it imitates.
CompanyThe company facts the assistant references with leads.
ConversionGoals, what "qualified" means, when to hand a lead to your team, follow-ups and lead temperature.
KnowledgeFAQ, the Company & services answers (reputation, your edge, service explanations), files, and properties the assistant can search.

The selected section is part of the page address, so links to a section and the browser's back and forward buttons work (see Top bar below).

Appointment booking settings are not on the AI page. The meeting types Gene can book (with their in-person, online and phone formats) are on Settings > Calendars > Meeting Types, the Preferred meeting format is on Settings > Calendars > Availability, and the messages around a meeting (confirmation email, reminders) are on Flows > Appointments. See Appointments.

Turning Gene on or off#

There is no on/off switch on this page. Four switches decide whether Gene replies, at four scopes.

Per channel#

WhatsApp, Email, Messenger, Instagram and Telegram on Flows > Inbound each have their own switch, named after the channel (for example Gene AI replies on WhatsApp).

  • This is the one you use to turn Gene on, or to keep it quiet on one channel while it keeps answering on the others.
  • A channel that is not connected yet is greyed out there with a Connect link. It gets its switch once it is connected.

Per WhatsApp number#

Each WhatsApp number connected by QR has a Gene replies on this number switch on its card in Settings > Communication > WhatsApp.

  • Use it to keep Gene quiet on one number while it keeps answering on your other numbers. Messages to that number land in the Inbox for your team, and Gene sends that number's leads no follow-ups or welcome messages.
  • The WhatsApp channel switch above still stops Gene on every number at once. See Gene replies on this number.

Per lead source#

Each lead source row on Flows > Inbound has its own Gene AI switch. It controls the automatic first message to new leads from that source.

Workspace#

Gene AI is on for the whole workspace by default, in new and older workspaces alike, so Gene replies on each channel as soon as you connect it. Use the channel switches above to keep it quiet where you don't want it yet.

If someone in your workspace switched Gene AI off for the whole workspace, every channel switch on Flows > Inbound shows off. Switch on the channel you want: Gene goes live on that channel only, and the others stay off until you switch them on too. If every channel switch is on and Gene still answers nobody, open More beside Settings in the left navigation and choose Book a Call. Gene support will check it with you.

Tips#

  • Fill in the Sales agent, Company, Conversion and Knowledge sections before you connect a channel, so the assistant has real context to work from. Gene starts replying on a channel as soon as it is connected, unless you switch it off there first.
  • The Gene AI switches control the lead-facing assistant only. The in-app sidebar agent (Gene) and the CEO briefing agent are separate and are not affected by them.
  • Most text fields save on their own: shortly after you stop typing, and immediately when you click away. A marker next to each label shows Saving..., then Saved, or "Not saved. Try again" with a Try again link if a save fails.
  • Switches save the moment you flip them. A switch never stays showing a setting Gene is not using: if the save fails, it flips back with "Could not save. Change undone.", or shows "Not saved. Try again" beside it.

Details#

What applies across the whole AI area, for when you need to look something up. Each section's own fields are listed on its page: Sales agent, Company, Conversion (Qualification, Follow-ups, Lead Temperature) and Knowledge.

The AI area lives at /ai and is reached from Settings.

Top bar (every section)#

  • Settings (back button): returns to the rest of Settings.
  • Sections (left sidebar): Sales agent, Company, Conversion, Knowledge.
    • The active section is stored in the URL hash, so deep links and back/forward work. The addresses are /ai#assistant, /ai#company, /ai#conversion and /ai?ktab=faq#knowledge.
    • Old hashes from the previous layout (#qualification, #services, #flow, #temperature, #heartbeat, and so on) still land on the section that content moved to.
  • No on/off switch. Whether Gene replies is set per channel, per lead source and workspace-wide. See Turning Gene on or off.

Not on this page#

  • Appointment booking settings. They are on Settings > Calendars (Meeting Types and Availability tabs) and Flows > Appointments, as described above.
  • Model selection. There is no model-selection control anywhere in the AI area.
  • Typing speed and message splitting. Both are tuned globally and have no controls here. How replies, welcomes and follow-ups are split into one message per paragraph, and why a split message is still charged once, is on Message Flow.
