Portal client logins

Give buyers a login to your branded property portal and see everything they do there on their contact.

Overview#

Portal client logins turn your property portal into a members-only area. When this feature is on, no buyer sees your listings without signing in first. Your own team skips this (see Your team skips the sign-in).

  • Visitors land on a branded sign-in page (your logo and one of your property photos) instead of the listing grid.
  • You invite a contact from their contact page. They get an email from your company with a link to create a password.
  • From then on they sign in to your portal, on your own portal domain when one is connected.
  • Every login is tied to that exact contact. The lead you're talking to on WhatsApp and the buyer browsing your portal are provably the same person.

What gets recorded#

While a buyer is signed in, Gene App records what they do:

  • which listings and units they view;
  • how long they keep each listing page open;
  • which documents or document packs they download.

Buyers who are not signed in are never tracked.

What you can do#

Invite a buyer#

Invite to portal is the button at the top of a contact's page, next to Open conversation.

  • It sends a set-password email branded as your company.
  • The contact needs an email address first.
  • While the invite is pending, the button reads Resend portal invite. It disappears once the buyer has activated their login.

See a buyer's portal activity#

The Portal section sits under the contact's Details tab. It shows:

  • whether they have a login, and their last sign-in;
  • their recent portal activity ("Viewed Aman Maldives · 4m 30s", "Downloaded the brochure");
  • an engagement ring from 0 to 100, the same one as the Analytics buyers table. It is computed from the last 30 days of views, reading time and downloads, so you can read a buyer's interest at a glance;
  • Send password reset, for contacts with an active login, so you can help a buyer who lost their password.

See logins across contacts#

In the Contacts table, enable the Portal login column from the column picker. It shows who has a login, who has a pending invite, and who has none.

Portal analytics#

The Analytics page gains a Portal section:

  • active logins, active buyers, listing views, average time per view and downloads for the chosen window;
  • listings ranked by attention;
  • your most engaged buyers;
  • a live feed of the latest portal actions.

Ask the AI#

The AI sidebar answers questions like "has this lead used the portal?", "what did Jane look at?" or "which listings get the most attention?" using the same activity data.

Choose the sign-in page photo#

In a property's editor (Properties page, portal section), flip Sign-in page photo. That property's cover becomes the photo buyers see on the sign-in screen.

  • Only one property holds it at a time.
  • With none chosen, the first published property with a photo is used automatically.

How buyers sign in#

Buyers sign in at your portal's sign-in page in one of two ways:

  • Continue with Google, when their Google account uses the email address you invited.
  • Their email and password.

Good to know:

  • The sign-in and sign-up screens show your business logo (uploaded at Settings > Business Profile) above the form, the same way as the portal header: the logo on its own, in its dark-background version in dark mode when you uploaded one, or your company name when there is no logo.
  • Buyers can use any number of devices or browsers. Each stays signed in for 30 days.
  • A buyer who forgets their password uses Forgot your password? on the sign-in page, which emails them a reset link from your company. You can also send them a reset from their contact page.

Your team skips the sign-in#

Anyone with a seat on your workspace, whatever their role, sees the portal straight away without a buyer login.

  • View portal on the Properties page, and Open or View full portal inside a listing, open the portal on the Gene App address (crm.gene.so/p/<your-workspace>), where your Gene App login already counts.
  • A bar across the top reads "Viewing as your team. Nothing you open here is tracked as a lead." with a Back to Gene App link.
  • On your public portal address (portal.gene.so/<your-workspace> or your own domain), a teammate can type their Gene App email and password into the normal sign-in form. They get the same team view, with a Sign out link in the bar.

Team browsing creates no portal account. It never shows up in a contact's portal activity or in Analytics, so it does not skew which listings look popular.

Buyers still sign in exactly as before. To see the sign-in screen a buyer sees, open the public address in a private window.

Open sign-up (optional)#

By default the portal is invite-only: a login exists only when your team (or the AI) created one.

With Portal open sign-up enabled on top, anyone who reaches your sign-in page can create their own login:

  • They tap Continue with Google, or
  • They use New here? Create an account with their name and email. This sends them an activation link from your company, so the address is verified before the login works.

Either way, they are asked for their WhatsApp number before they can browse.

Where self sign-ups land#

  • If a contact with that email already exists, the new login is attached to that contact and their portal activity shows up there.
  • Otherwise the sign-up becomes a new contact with source "Property portal". It gets an owner the way a portal enquiry does: your team rotation, unless portal enquiries are set to go to one person. A contact that already existed keeps its owner.
  • The owner gets a "Portal: new account" alert (choose where in Settings > Notifications).
  • If the phone number they enter matches a different existing contact, the login is moved onto that record, or flagged for review when it's ambiguous. Invited accounts work the same way.

How the AI uses the portal#

When AI portal sharing is enabled for your account (on top of portal client logins), the sales assistant brings the portal into its own conversations with leads.

  • When it shares a document in chat, it adds a short line pointing the lead to the portal, where the complete and always-current document set lives. It reminds them which email to sign in with.
  • When a lead has no email on file, or the assistant cannot be sure they can sign in, it creates a personal sign-up link for that lead instead of the general portal address.
    • Whoever registers through that link is automatically connected to the conversation they came from.
    • So a lead who reached you from Instagram or an ad, with no email in your records, still ends up on the right contact.
  • What the lead enters at sign-up: portal sign-up asks for a phone number, and for an email address when the account doesn't already have one. Whatever the lead provides is quietly added to their contact record, filling in only the blanks and never overwriting information you already have.
  • As a fallback: if a document can't be delivered on the conversation's channel and emailing it isn't possible either, the assistant offers the portal so the lead can get everything themselves.
