Overview#

Settings is where you set up Gene App for your team. The left nav splits into two groups:

  • Account covers you and your company.
  • Configuration covers how Gene App behaves day to day.

Some items appear only when enabled for your account or your role, so your nav may show fewer entries than this list.

Account#

  • Business Profile: your company details: name, contact info, address, niche, currency, registration, and authorized representative. See Business Profile.
  • My Profile: your personal account: timezone, language, password, and your own WhatsApp number where each agent has one. Visible to every role. See My Profile.
  • Notifications: which alerts reach you (hand-overs, bookings, mentions, tasks and more) and on which channel: in-app, email, WhatsApp or the mobile app. Visible to every role, and each person sets their own; managers and admins can also pick a teammate there and set that person's alerts. See Notifications.
  • Team: invite teammates, set roles, and control what each person can access. See Team.
  • Team Activity: how much time each person on your team spends in Gene App. See Team Activity.
  • Billing: your plan, credits, payment method, and auto top-up, plus Credit usage, which lists what every credit was spent on. See Billing.
  • Free Credits (where enabled): earn credits by reviewing Gene App, recording a testimonial, or referring another agency. See Free Credits.

Configuration#

  • Gene AI: opens the AI page, where you set up how Gene replies to leads (Sales agent, Company, Conversion, Knowledge). It sits at the top of this group for every workspace. See AI overview.
  • Pipelines: the stages deals move through, Gene's checklist in its own stages, and the tasks created for your team in the others. See Pipelines.
  • CEO Briefing: the daily KPI digest sent to WhatsApp, and the CEO team groups it posts into. See CEO Briefing.
  • Calendars: meeting types, availability, scheduling preferences, and connected calendars. Visible to every role. See Calendars.
  • Communication: the numbers and accounts Gene App sends and receives on, one tab per channel, CloudTalk included (see below). Visible to every workspace. See Communication channels.
  • Lead Sources: the places your leads come from, one tab per source (see below). Shown when at least one lead source is enabled for your account. See Lead Sources.
  • Data & Fields: the standard objects (Opportunities, Contacts, Companies, Properties, Units) and the custom fields you add to them. See Data & Fields.
  • Portal (where enabled): your own domain for the property portal and file links, and Google sign-in for buyers under your brand. See Portal.
  • API (where enabled): keys so your own tools, your developer, or an AI assistant can work with this workspace's data from outside Gene App. See API.
  • Transfer (where enabled): move your contacts, custom fields, pipeline, and history over from another CRM, including Gene 2.0, GoHighLevel and HubSpot. See Transfer.

What is under Communication and Lead Sources#

  • Communication (called Messaging until October 2026) has the channel tabs: WhatsApp, Email, Messenger, Instagram, Telegram, Phone, CloudTalk and Providers.
  • Lead Sources has one tab per source: Website, Meta Ads, Google Lead Ads, TikTok Lead Ads, Portals and Webhooks. Webhooks also holds property portals and CSV import.

They sit next to Calendars in the Configuration group, and each page only shows its own tabs. There is no Integrations item any more. You see the tabs enabled for your account.

Sub-accounts#

A sub-account is a separate workspace with its own contacts, inbox and settings, on the same login. Managers create one with Create a sub-account in the workspace menu at the top of the sidebar, and switch between workspaces from the same menu.

Switching opens the page you were on in the other workspace, on the same tab: from Inbox you land in the other workspace's Inbox, from Settings > Channels on its Channels tab. A single record (a contact, an invoice, a flow) belongs to one workspace, so from one of those you land on its list instead, for example Contacts. Anywhere else, you land on the Dashboard.

Delete a sub-account appears there once you manage more than one workspace. Deleting a workspace takes its contacts, inbox and history with it, but nothing goes straight away: it is deleted 48 hours after you ask, a banner shows the date, and Keep this workspace calls it off any time before then.

Who can open what#

  • Most Account and Configuration pages are Manager only.
  • My Profile, Notifications and Calendars are also visible to the Agent role.
  • Several pages and sections appear only where enabled for your account, or on certain pricing tiers. This is noted on each page.

Tips#

  • Lead sources are connected under Settings > Lead Sources, on the tab named after the source. What Gene App then says to a lead from that source (the welcome flow, the language rules, the per-source Gene AI switch) stays under Flows > Inbound in the main sidebar.
  • Knowledge lives under the AI tab (AI > Knowledge), not Settings.
  • The main Settings pages end with a Details part for looking up a field, toggle or button, for example Team details.
