Scheduled
Every message waiting to go out to your leads, when it sends and what it will say.
Scheduled lists every message waiting to go out to a lead, a day at a time, so you can see what Gene is about to send and stop a follow-up you no longer want.
Open it#
Click the clock icon in the Inbox list header, next to the pencil. Scheduled opens as a popup over the Inbox, so the conversation you had open stays right behind it. Close it with the x in its top corner, Esc, or a click outside it.
You can also search "Scheduled" in the Ask Gene command palette, or use a link to /inbox/scheduled (for example an old bookmark). Both open the Inbox with Scheduled already up.
In the conversation#
You do not have to open Scheduled to see what one lead is about to get. The same messages show at the bottom of their conversation as dashed bubbles, below the last message:
- the text, or what Gene will write when it is not written yet;
- "Gene sends this" and the time on the lead's own clock, for example "Gene sends this tomorrow at 11:20" (hover it to see that this is the lead's time, in their timezone);
- what it is (Gene follow-up, Welcome message 2 of 4, the flow's name), with "booked by" for a follow-up a teammate booked;
- Cancel, on follow-ups only. It works like the x on a row in Scheduled.
A message queued with Schedule send, and a WhatsApp template that already has its own bubble in the thread, are not shown twice. A template still waiting on WhatsApp with no bubble of its own reads "Gene sends this as soon as WhatsApp approves it".
What it lists#
- Gene follow-ups: a follow-up Gene has queued for a lead. A follow-up you booked yourself from the clock chip in a thread header shows here too, with "booked by" and your name.
- Welcome messages: the next message of a lead still in a welcome sequence, labelled with its place in it, for example "Welcome message 3 of 4".
- Templates waiting on WhatsApp: a message that has to go as a WhatsApp template (the lead has not written in 24 hours) and is in review. These sit at the top, under "Waiting for WhatsApp approval", because they have no send time yet. They send as soon as WhatsApp approves them, and are dropped if that has not happened by the time shown.
- Flow steps: the next step of a nurturing flow a lead is in.
- Scheduled messages: a message queued with Schedule send in a conversation, where Schedule send is turned on for your account.
NoteGene checks each open lead every day at 9:00 in the lead's own timezone and decides then whether to follow up. Those follow-ups are not booked in advance, so a lead appears here only once Gene has queued one, for later that day between 9:00 and 18:00 their time. The clock chip in the thread header shows when Gene next checks that lead (see Follow-ups).
If Restrict lead visibility is on for you, you only see messages to leads you can see in the Inbox.
What each row shows#
- Channel icon: how it will send, such as WhatsApp or email.
- Lead name: closes Scheduled and opens that lead's conversation in the Inbox behind it.
- What it is: Gene follow-up, Welcome message 2 of 4, the flow's name, and so on.
- What it will say: the text, with the lead's name already filled in. A follow-up is written by Gene when it sends, from the conversation so far, and a first welcome message left empty on the Welcome flow tab is written for each lead from what they shared, so for those the row says so instead. A typed first message is shown as it will go out. When the lead gets their welcome messages in another language, the row shows the text as you wrote it and says which language Gene sends it in, for example "Gene sends this in Dutch."
- Time: when it goes out, on your own clock. Gene times welcome messages and follow-ups on the lead's clock (a daily-check follow-up goes between 9:00 and 18:00 their time, and nothing Gene times itself goes outside 7am to 8pm their time), so when the lead is in another timezone the row also shows the time for them, for example "11:20 AM their time". The lead's clock is the timezone on the contact, then the one their phone number points to, then your workspace's.
Cancel something#
- Follow-ups: click the x on the row and confirm. It cancels the queued follow-up, the same as Cancel follow-up on the clock chip in the thread. Gene keeps checking the lead every day and can still decide to follow up later. To stop Gene for good, turn off the Gene switch in that conversation.
- Scheduled messages: click the x and confirm. The message is not sent.
- Welcome messages, templates and flow steps have no cancel button here. Turning off the Gene switch in the conversation stops welcome messages and flow steps for that lead, and a lead who writes back stops their welcome sequence on its own.
When nothing is waiting, Scheduled reads "Nothing scheduled". While it is open, it refreshes on its own every minute.
